HelloTeam (collectively “HelloTeam,” “we,” “us,” or “our”) is a sports team management tool that helps to keep student athletes connected to their coach and team through multiple communication methods including but not limited to posts, chats, messaging, videos, and calendars.


Your privacy is very important to us and we are committed to protecting and respecting your privacy rights. Our online privacy policy (“Policy”) describes how we collect, use, and disclose the personal information we gather from you through our website and/or our application.

DEFINITIONS

Application

Refers to our software that can be installed and run on a device.

Customer

Refers to the company, organization or person that signs up to use the HelloTeam Service to manage the relationships with your consumers or service users.

Device

Refers to any internet connected device such as a phone, tablet, computer or any other device that can be used to visit HelloTeam and use the services.

IP address

Every device connected to the Internet is assigned a number known as an Internet protocol (IP) address. These numbers are usually assigned in geographic blocks. An IP address can often be used to identify the location from which a device is connecting to the Internet.

  • Registration information you voluntarily provide when you create an account on our website or application, such as your first name and last name, email address, age, username and password. We collect this information for the purpose of account creation, maintenance and website security;
  • Team information you voluntarily provide when you register a team to create the team account on our website or application, such as team name, sport and event information, and contact information for the individuals on your team. We collect this information for the purposes of account creation and maintenance, advertising and marketing, and website security;
  • Information you provide in forums on our site and application, such as public posts. Forums on our site and application may offer message boards, chat rooms, profile pages, and other forums that are available to your entire team of athletes, coaches and parents. If you provide personal information when you use any of these features, that personal information may be posted and otherwise disclosed without limitation as to its use by us or by a third party. We collect this information for account maintenance, website security and customer service;
  • Information sent either one-to-one or within a limited group using our message, chat, post or other similar functionality, where we are permitted by applicable law to collect this information. We collect this information for account maintenance, website security and customer service; and
  • Call recordings when you call our customer service phone number. We collect this for customer service and website security and maintenance.

HOW WE COLLECT YOUR INFORMATION

  • We collect information you voluntarily provide us when you create an account with us, participate in forums or other activities on our site and application or call our customer service phone number. You may provide information in a variety of ways, including by typing or over the phone with your voice.
  • We collect information through technologies including cookies, which are small pieces of data stored to your computer or mobile device by your web browser. We use cookies to personalize your experience on our website. You may disable cookies; however, if you disable cookies, you may not be able to access functionality on our website correctly or at all. We never place personally identifiable information in cookies.
  • We collect information through tracking technologies such as Google Maps APIs which is a robust tool that can be used to create a custom map, check-in functions display live data synching with locations plan routes or create a mashup. Google Maps API may collect information from your devices for security purposes. Google Maps API collection information that is held in accordance with its privacy policy.

We are the data controller, which means we are responsible for the information collected and used within the scope of this Policy from our site and application. Consistent with applicable law and choices and controls that may be available to you, we may use the information provided by you to:

CHILDREN’S PRIVACY

  • We will retain your personal information while you have an account with us and thereafter (including following a request to delete the information) for as long as we or the team, school, league or Organization with which you or your child are associated needs or would like to retain it for purposes not prohibited by applicable law. Thereafter, we will either delete your personal information or de-identify it so that it is anonymous and not attributed to you or your child's identity.

Data retained for extended time periods for limited purposes

After your account is deleted, we keep some data for a longer time period but for very limited purposes. For example, we may be subject to legal or contractual obligations that require this. These may include mandatory data retention laws, government orders to preserve data relevant to an investigation, or data kept for the purposes of litigation. We may also keep data that has been removed from the HelloTeam Service for a limited period of time. This could be:

  • To protect against harmful content on our platform.

This helps us investigate potential breaches of our User Guidelines and platform policies. We will remove unlawful content if the law requires us to do so.

CHILDREN’S PRIVACY POLICY

The privacy of children using our site and application is extremely important to us and we are committed to protecting their privacy. This Children’s Online Privacy Policy explains how we collect information, disclose that information, and parental consent practices with respect to information provided by children under the age of 13 (“child” or “children”), and uses terms that are defined in our general Privacy Policy. This policy is in accordance with the U.S. Children’s Online Privacy Protection Act (“COPPA”) and explains how we use children’s personal information in the United States.

INFORMATION WE COLLECT FROM CHILDREN AND HOW WE USE IT AND HOW AND WHEN WE COMMUNICATE WITH PARENTS

Our site and application offer opportunities for sport teams to connect with their coaches, teammates and parents in one centralized location and in some instances include activities that may collect information from children We outline below the instances of when we would collect personal information and how and when we will provide parents notice and/or seek parents consent. When we collect personal information from a child, we retain that information only so long as reasonably necessary to fulfill the request for an account. If we find that we have collected a child’s information inconsistent with COPPA’s requirements, we will either delete the information or immediately seek parental consent for it.

Account Set Up

Children can set up an account on our site and application to view their team’s dashboard, post content, review content and use chat feature, among other things. During account set up, we may ask the child to provide certain information for notification and security purposes including a parent or guardian’s email address, the child’s first name, account username and password. We may also ask for the date of birth of the child to validate their age. We will never require a child to provide more information than is required to set up the account and have access to their team dashboard.

Use of the Parent Email

To comply with COPPA requirements on verifying a user's age is 12 or under, we will ask for the parent or guardian’s email address and mobile phone number before we collect any personal information from the child. If you learn or believe that your child is participating on our site or application and you or another parent/guardian have not received an email providing notice or seeking your consent, please contact us at support@helloteam.com. We do not use emails provided by the child for consent to market to the parent, unless the parent has opted into email marketing or has separately created their own login account.

Chat

The team dashboard allows users to communicate with the entire team or directly with other users through a chat system. We may occasionally monitor and/or encourage other users to flag inappropriate communications. We strongly recommend who use the chat function on our site and application to never provide personal information about themselves. We also encourage parents to carefully monitor their children when the children is using these features.

WHEN WE DISCLOSE INFORMATION COLLECTED FROM CHILDREN

If it is necessary for our service providers to perform a business, professional, or technology support for us we may share information with them.


We may be required by law to disclose personal information for examples in response to a court order or a subpoena.

  • We may disclose personal information if permitted or required by law, for example, in response to a court order or a subpoena.
